Every document Let Me Run asks a person to sign, and the permanent record of who signed which version. A published version is frozen forever — a change makes a new version, and everyone who signed the old one stays on the old one.

Documents we ask people to sign
A draft can be edited freely and signs nobody. Publishing freezes the text forever and makes it the version every new signature binds to — publishing a new version automatically retires the old one, and everyone on the old version shows as needing to re-sign. Nothing here ever deletes a signature.
1 · Which waiver
Only published versions can be assigned. Assigning always means the current version — publish a v2 tomorrow and everyone on v1 shows as needing to re-sign.
2 · Who has to sign it
Start with everyone, then narrow. A coach only ever appears once, even if two rules would catch them.
This list is the Pinwheel roster as of the last daily refresh. Don’t see the team yet? Use “only certain regions” instead — a region assignment covers teams that are added later, automatically.
Everyone attached to the team is included by default — “if they’re assigned to the team, they might also coach and attend the 5K — the title is fluid” (JB, Aug 21). Untick a role only for a deliberately narrowed ask; an unknown title is always included.
3 · How the Coach Hub asks
Changes the banner wording (“due …” / overdue). It never changes what a coach can open. Leave blank if the race date isn’t set yet.
Current assignments
Delivery to a race partner is one PDF at a time — each Download button opens a short-lived link to that coach’s signed copy (no bulk zip; JB, Aug 22).
Staff logins are never listed as “not signed” — staff see waivers in the Hub but are not asked to sign them (JB, Aug 22).
